Deadline for Advance Accommodation Reservation Requests

The deadline is Monday, June 14th, 2010.

Please note that requests after this date will still be processed but your accommodation can not be guaranteed due to the unavailability of the conference hotels at this date. To avoid any inconveniences we recommend you to make your reservation at an earlier stage.

How to Make Accommodation Reservation

Accommodation requests are processed only with the full payment of the stay. Reservations can be completed online or by filling out the Registration & Accommodation Reservation From and sending it to the Conference Secretariat. You will be required a valid credit card for Online Accommodation Reservation. For written applications either a valid credit card may be used or wire (bank) transfer can be performed. Please read carefully the cancellation policy and payment terms below.

Group Accommodation

Cancellation and Refund Policies

HOTEL reservations will be confirmed upon receipt of your reservation form along with your hotel payment (in full) to the Conference Secretariat. All the cancellations and changes of hotel reservations must be sent to the Conference Secretariat in written form.

Refund policy for the hotel reservations is as follows:

Within March 26th 2010	The paid amount will be refunded with a deduction of 10% administrative charges.
March 27th - May 28th 2010	The paid amount will be refunded with a penalty of 1 night accommodation fee.
May 29th - July 2nd 2010	The paid amount will be refunded with a penalty of 2 nights accommodation fee.
After July 2nd 2010	The amount of full stay will be forfeited and no refund will be available.

All refunds will be processed after the ICPR 2010 Conference. Please send your exact bank account details in your written cancellation application. All bank fees related to the refunds are to be paid by the participant.

Methods of Payment

The accommodation request forms will only be taken into consideration if accompanied with the respective payment. Payments are to be made in EUROS.
Payments can be made using one of the methods stated below.

1) On-Line Registration:

Upon providing your personal and accommodation details, you will be required a valid credit card which the total amount of your stay will be debited. VISA, EuroCard / MasterCard are accepted for the payments.

Please note that American Express cards can not be processed.

2) Wire (Bank) Transfer:

The wire transfer should be exclusive of bank or any other charges. Please make sure to indicate participant's name and all below details during transfer. A copy of the transaction statement should be faxed to the Conference Secretariat.

All bank transfers should be exclusive of all bank charges. Please make sure to indicate participant's name and all details below on the bank transfer form. Please do not forget to bring a copy of the bank transaction statement as the proof of your payment.

3) Mail Order:

Please fill out the required fields in the Registration & Accommodation Reservation Form, supply your credit card details and send the form to the Conference Secretariat. Upon receipt of your form, registration amount will be debited from your credit card.

VISA, EuroCard / MasterCard are accepted for the payments.

Please note that American Express cards can not be processed.

Confirmation of Accommodation Reservations:

Confirmation will be sent to all participants in written form after receipt of registration, accommodation details and payment.

Confirmations for online registration will be sent instantly while written registrations should be allowed business days for the process. Registration applications and payments sent after August 16th, 2010 may not be confirmed in written form since the advance registration will be closed after this date.

Please note that American Express and Diners will NOT be accepted. Only VISA and MASTERCARD are accepted. The card number, expiration date and CVC code should be stated in the appropriate space on the reservation form.

Dormitory Accomodation

Sabanci University has granted cheaper accommodation at ITU Vadi Dormitory. Each room holds three persons and has restroom and bath room inside. Please note that you will be sharing a room with one of your colleagues if you purchase single accommodation at ITU Vadi Dormitory. The dormitory is 30-40 minutes driving distance to the Conference Venue depending on the traffic and Conference Secretariat will be providing free shuttle services every morning and evening to and from the Conference Venue. Please also note that no catering will be provided for accommodation at ITU Vadi Dormitory. Single occupancy in triple room: 20 Euros per person per night including VAT.
